This policy explains how Freo Ventures LLC, a Florida limited liability company that owns and operates MyHeatSheet (myheatsheet.com and related sites, applications, and services, the “Service”), handles information. Questions and requests go to legal@myheatsheet.com.
The Service changes over time, and this policy is written to cover it as it grows. It describes the kinds of information we may collect and how we may use them; not every practice described here is in use at any given moment, and we will update this policy as our practices change.
This may include:
When you use the Service, we and our providers may automatically collect technical and usage information: IP address, browser and device characteristics, operating system, referring and exit pages, the pages and features you use, the dates and times of your requests, and diagnostic and error data. We may use this information in aggregated or de-identified form for any purpose.
When you submit content — a document, a team, a league — we record the IP address and browser user agent of that submission and keep them with the record it created. We use them to establish where submitted content came from, to respond to reports and removal requests about it, and to investigate abuse. They are not displayed publicly.
We may use cookies, local storage, pixels, and similar technologies to keep the Service working, remember your preferences and selections, keep you signed in, understand how the Service is used, and measure the performance of our own communications. Some of this data stays only on your device; clearing your browser’s site data removes it.
We may use analytics or similar measurement tools provided by third parties. We do not currently serve third-party advertising on the Service, and if that changes we will update this policy and provide any choices the law requires. Most browsers let you block or delete cookies; parts of the Service may not work properly if you do.
We may receive information about you from other people who use the Service — for example, when someone submits a document that includes your or your swimmer’s information — and from publicly available sources and our service providers.
We do not sell your personal information, and we do not share it for cross-context behavioral advertising. If that ever changes, we will update this policy and offer any opt-out the law requires before doing so.
Much of the Service is public. Content published on it — including information about swimmers such as names, age groups, team affiliations, assignments, and times, and the date, time, and location of the meets they are entered in — can be viewed by anyone, may be indexed by search engines, and may be copied or cached by third parties beyond our control. Anyone submitting such content is required by our Terms of Service to have the permissions needed to make it public, including the permission of a parent or legal guardian for anyone under 18.
We do not currently publish the contact details you give us — such as the email address you provide when submitting content — as part of the public content of the Service. If we introduce a feature that displays any of it, we will make that clear at the point you provide it.
Swim meets are largely about kids, so content on the Service commonly concerns minors. The Service is not directed to children, and we do not knowingly collect personal information directly from a child under 13. Information about minors generally reaches us because an adult submitted a document containing it, and that adult is responsible under our Terms of Service for having obtained the necessary permission from each child’s parent or legal guardian.
If you are a parent or legal guardian and want your child’s information taken down, email legal@myheatsheet.com with a link to it. We will take it down. Teams, leagues, and meet hosts may request removal the same way. If we learn that we have collected personal information from a child under 13 in a manner the law does not permit, we will delete it.
You can unsubscribe from non-essential email using the link in those messages or by emailing legal@myheatsheet.com; we may still send messages necessary to operate the Service. You can control cookies through your browser, and you can ask us to remove content as described above.
You may ask us what personal information we hold about you, ask us to correct it, or ask us to delete it — email legal@myheatsheet.com. We may ask for information that lets us verify your identity or your connection to the content before we act.
Depending on where you live, you may have specific rights under state privacy laws (for example in California, Colorado, Connecticut, or Virginia) to access, correct, delete, or obtain a portable copy of your personal information, to opt out of certain processing, and to appeal if we decline a request. We honor these requests from anyone, wherever they live, and we will not treat you differently for making one. Some requests may be limited by law or by our need to keep records.
We keep information for as long as needed for the purposes described in this policy — typically, published content and the records associated with it are kept indefinitely so that archives remain usable, unless it is removed at someone’s request or on our own initiative. Technical logs are kept for shorter periods. We may retain information as needed to comply with law, resolve disputes, and enforce our agreements, and copies may persist in backups for a period after deletion.
We use reasonable measures to protect information, including encryption in transit and limited access to production systems. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
Freo Ventures LLC operates in the United States and information is processed there. Our providers may serve, cache, or process data from locations around the world. The Service is intended for users in the United States; if you use it from elsewhere, you consent to your information being processed in the United States.
We may update this policy as the Service and our practices change. When we do, we will change the “last updated” date above. Continuing to use the Service after a change takes effect means you accept the updated policy.
